This article walks you step-by-step through the entire process of becoming a new client.
I realize dealing with a house can be stressful.
I just got off the phone with a woman who had never leased a property through a property management company before.
Her husband is in the military, and she needs to be out of the house soon.
Since they don’t have much equity in the home, they decided to call us to find out how we could help.
Much of what I told her is described below.
The First Call or Email
The process starts with you.
Let us know how you want to be contacted.
We can talk on the phone or connect via email.
Our property management expert will ask you some questions about your goals.
They will work up some realistic expectations, and answer any questions you might have.
On top of that, they will listen to any concerns you might have about your specific situation.
Finally, they will determine if your property qualifies for our program, and treat you with utmost respect all along the way.
To get the ball rolling, we can either talk on the phone or make an appointment to meet at your rental property.
At either of those meetings, we’ll give you an estimate of the amount of rent your property will bring.
We’ll let you know of anything you might need to do for the property to lease.
We’ll review all of the charges for property management.
Then, we’ll review the paperwork required for us to get started.
If the property is currently being managed by another company, we’ll provide the paperwork required to give the former property management company proper notice.
Start of Service
The only thing that is required to start service is that you will need to sign the property management agreement, and send that agreement to us.
The management agreement should:
- Explain the charges for management and leasing fees,
- Describe what the management company is responsible for,
- Describe what the owner is responsible for, and
- Tell exactly what it takes to terminate the agreement.
This is the part where you need to read the whole thing, and ask questions.
The lady I spoke of above did the right thing when she asked me to email her the management agreement so she could read through it.
The other thing she did right was contacting me several months prior to when she plans on being out of the property.
That will leave plenty of time to market the property in advance of her moving out.
We love it when we can advertise the property before it becomes vacant.
And, we can arrange showing around her schedule.
If you give us that kind of lead time, we can often find a tenant to move in right after you are moving out.
To make it easy, we can send the agreement for electronic signature. All you need is a email address and the ability to click a mouse.
You don’t pay anything to start service with our company. You will have to pay for make ready or cleaning services if you need assistance with those items.
If you have an existing tenant, we will notify them as soon as we have a signed agreement.
Once we have the signed property management agreement, we can start our work.
If the property is going to need some make ready or cleaning, we’ll get that work going.
It’s usually best to wait until after the make ready work is done before taking photos.
We’ll also prepare a marketing plan for you to review.
Ideally, we would get keys to the property from you if the property is vacant.
Then, we’ll go to the property to get high-quality photos that we can use to advertise the property.
Or, if you are still living in the property, we’ll just make an appointment to go the property to get those photos.
Either way, the idea is to get the advertising going as soon as possible.
You’ll also need to provide us a voided check so that we can do a direct deposit into your bank account once the property is leased.
